Style Galleries
Provides custom subsets of ScML styles for quick access. Scribe recommends using this feature to group less commonly used styles that often occur together in a document. For instance, list or copyright styles may not occur frequently enough to justify using keyboard shortcuts to access them. Creating style galleries for these subsets eliminates the need to scroll through all the available ScML styles in order to apply the desired style.
Click Style Galleries to see a drop-down menu with various tools.
The top section of the drop-down menu lists available style galleries. Click on one to open a separate, movable dialog/command box populated with buttons to apply each style in the gallery. You can use multiple style galleries at once.
- Create or Manage Style Galleries: Opens the Manage Style Galleries window, which allows you to create, edit, and delete galleries.
- Load User Style Galleries: Allows you to load one of your saved style galleries (Word 2016 [Mac] and later only; replaces the drop-down menu).
- Load Default Style Galleries: Allows you to load one of the preset style galleries created by Scribe.
- Bring Open Galleries to Front: Brings any open style galleries to the top of the workspace.
- Close All Style Galleries: Closes all open style galleries.
Note: In Word 2016 (Mac), the Style Galleries tool opens from the Load User Style Galleries dialog box rather than from the ribbon menu.
Create or Manage Style Galleries
There are a few ways to add styles to a new or existing gallery:
- Select the styles to include from the list box on the left (using Ctrl/⌘ + [click], you can select multiple styles), then click the Add button.
- Add from Pop-up allows you to manually add multiple styles to a gallery. Type or copy style names into a comma-separated list in the Add Styles to Gallery box. Create compound styles by adding a slash between two or more styles. Compound styles work by applying a series of paragraph styles to a selection. For example, if two paragraphs are selected and cn/ct is applied, the first paragraph becomes cn and the second becomes ct. Click OK to add the styles to the active gallery.
- To import styles from a preset gallery, choose the gallery from Import Default Gallery Styles.
You can sort the order of styles within a style gallery with the up and down arrow buttons and the Alphabetize Gallery button.
Save the gallery by clicking Save or Save and Open. If this is a new gallery, you will be given the opportunity to name the gallery. Saved galleries can be accessed in the top portion of the Style Galleries drop-down window.
To edit an existing gallery, select the gallery from the Active Gallery drop-down menu and follow the same process. Style galleries can be imported and exported to share within or between organizations.
Style Gallery Interface
Style galleries have additional options to expedite the scribing process. The style gallery interface on Word 2011 (Mac) is limited by certain technical constraints.
Applying Styles
To apply a style from the style gallery, click the button that has the style name written on it.
To apply a style that’s not part of the saved style gallery, enter a style name in the text entry box and click Apply Style. Apply compound styles by adding a slash between styles (e.g., ct/cs). Click Add to add the style from the text box directly to the gallery if you find you’re seeing it a lot. Click Edit if you need to edit the gallery or delete a style. Feature not available in Word 2011 (Mac).
Key Accelerators: The first ten styles in a style gallery are assigned a key accelerator. With the style gallery in focus, press Alt (⌘ on Mac) and the underlined number to apply the style. If autoselect options are selected, the autoselector will choose the next group of paragraphs as though the button were pressed. Feature not available in Word 2011 (Mac).
Automatically Advance Cursor
If the Autoselect Next Paragraph Formatting Group option is selected, clicking on a paragraph style in a style gallery will cause the cursor in Microsoft Word to advance to the next group of similarly formatted paragraphs. The autoselector looks at paragraph attributes such as spacing above and below a paragraph, left and right paragraph margins, first-line indents, and alignment to determine what constitutes a group of paragraphs. If additional skip suboptions are selected, the autoselector will skip over certain types of paragraphs to allow for scribing of targeted elements only.
- Skip ScML Paragraph: Skip paragraphs that are already scribed with ScML styles.
- Skip Likely <p> Paragraph: Skip paragraphs that are likely to end up as <p> body paragraphs based on the paragraph formatting. Remaining paragraphs can usually be converted to <p> paragraphs by the Refiner at the end of scribing once all non-<p> paragraph types have been scribed.
- Skip to Paragraphs with Local Formatting: Skip to paragraphs that have local paragraph formatting applied. Use this when vetting a file before style mapping to identify any paragraph styles that need to be scribed by hand.
- Next Paragraph Formatting Group: Move the selector to the next acceptable paragraph group without applying styles based on the current autoselect settings.
- Last Group: Move the selector to the last acceptable paragraph group based on the current autoselect settings.
To temporarily bypass your current autoselect options without toggling them off, right-click on the style button to apply the style without advancing the cursor.
Note: In Word 2011 (Mac), these options are set globally for all galleries. The options can be accessed through the Style Gallery Options button. In all other versions of Word, these options are set on a per-gallery basis.
Style Shortcut Drop-Down Menu
Styles in the style gallery have a drop-down menu to perform a selection of actions:
- Set shortcut: Assign a keyboard shortcut to the style. (Note: These shortcuts do not work with the autoselect options. For an alternative that works with autoselect, see Key Accelerators.)
- Find style: Opens up a Find and Replace window with this style in the find format field. (In Word 2016 [Mac], manually open the Find and Replace window after using this, and the formatting field will be populated.) This shortcut can also be accessed via the SAI context menu.
- Replace w/ style: Opens up a Find and Replace window with this style in the replace format field. (In Word 2016 [Mac], manually open the Find and Replace window after using this, and the formatting field will be populated.) This shortcut can also be accessed via the SAI context menu.
Change Base Font
Imposes roman base font on text, either on a selected paragraph or across all paragraphs of a particular style.
This tool will most commonly be used when scribing titles or heads that use italic or bold rendering to indicate their structure.
- Impose on Selected Paragraphs: Imposes roman base font on selected paragraphs. If a paragraph is only partially selected, roman base font is imposed on the entire paragraph.
- Impose by Paragraph Style: Opens the Change Base Font window, which imposes roman base font globally on selected paragraph styles. Select whether to impose it on bold base or italic base fonts. Then select styles from the list on the left and click the Add button. All paragraphs that use the selected styles will have a roman base font imposed when this cleanup is run. Use the Document Scope checkboxes to indicate whether the base font should be changed in the main text, endnotes, or footnotes.
Establishing a roman base font involves a series of character style reversals. After running the tool, all affected paragraphs should be reviewed to confirm the results.
Change Base Font (Italic)
When Italic is selected,
- Text using the i style becomes roman (Default Paragraph Font).
- Roman text (Default Paragraph Font) becomes i.
- Text using the b style becomes bi.
- Text using the bi style becomes b.
- Text using the iu style becomes u.
- Text using the u style becomes iu.
- Text using the bu style does not change.
Note: Additional reversals are done for styles such as sup-i, sub-b, and sm-i, retaining the superscript, subscript, or small caps aspect while adjusting the bold or italic variations.
Change Base Font (Bold)
When Bold is selected,
- Text using the b style becomes roman (Default Paragraph Font).
- Roman text (Default Paragraph Font) becomes b.
- Text using the i style becomes bi
- Text using the bi style becomes i.
- Text using the bu style becomes u.
- Text using the u style becomes bu.
- Text using the iu style does not change.

Chapter Structure
Inserts chapter structure indicators for conversion purposes. See Structure Indicators below for more information.
To insert a chapter structure indicator, select the paragraph(s) you wish to be included within one structure, then click Chapter Structure. The selected text will be placed within chapter indicator marks.
Structure Indicators
Inserts structure indicators for conversion purposes. Use when an element, such as a figure, should appear within a containing element like a sidebar (and the inner element is not part of the outer element’s style set)—multiple elements within one structure type. Inserting structure indicators is part of the scribing process. They are most useful when defining complicated text structures. Using structure indicators will improve the Hub output and minimize the need to tweak Hub e-book files.
To insert a structure indicator, select the paragraph(s) you wish to be included within one structure, then select from the Structure Indicators drop-down menu which structure you would like to indicate. The selected text will be placed within indicator marks.
Style Painter
Available for PC version of SAI only at this time.
Duplicates a style and applies it to selected text. This applies styles quickly and eliminates having to find and select a style from a style gallery or the Styles pane.
Select some text with a particular style applied. If the text has a character style, the painter will grab that. If it does not, it will grab the paragraph style. Click the Style Painter button. You’ll see that it stays clicked (gray). While the feature is on, any text you select will get the style you just grabbed. Click the button again to release the grabbed style.
