SAI Note Manager

Central hub for handling footnotes and endnotes.

With the SAI Note Manager, you can locate note issues, change document note settings, and convert between embedded and plain text notes.

It’s strongly recommended that any Active Note Warnings in the note tab be resolved before converting notes.

Conversion and Note Settings

Note conversions and numbering options can be changed at the same time, though it is also possible to change note numbering options without converting notes and to convert notes without changing note numbering options. Conversion can be run on the active file or files selected from a directory. If run on selected files, the converted file will be saved as a separate file in the same directory. If converting embedded notes to unlinked text, the new file name will end with -postnotestrip. If converting from plain text to embedded notes, the new file name will end with -prenotestrip.

Note Numbering Options

Set global note numbering options for the selected document or documents. To update, check the box for updating footnotes or endnotes, then choose how you want notes to be numbered.

  • Add section breaks before ScML chapter styles: Inserts Microsoft Word section breaks where each chapter should occur based on ScML paragraph styles. Doing this makes it possible to renumber Word’s embedded endnotes and footnotes per chapter. This tool can also be used with the Split Document feature to output one file per book chapter.

  • Add a-heads for each chapter in the notes: Inserts heads in endnote ranges corresponding to the chapter information gleaned from chapter title ScML styles. Section breaks must be added to the document at each chapter break before running. Will insert info from ctfm, ctbm, ct, or cn if available. If the endnote section contains old note a-heads, select remove current a-heads to remove the notes before adding new ones. Select the text pattern for note a-heads to take when a chapter contains both a chapter title and a chapter number. The resulting heads should be checked to confirm that the pattern conforms to your project specification.

Convert Embedded Notes

Converts Word’s embedded notes between embedded endnotes and embedded footnotes. Choose whether you want to convert all endnotes to footnotes, convert all footnotes to endnotes, or swap footnotes and endnotes.

Embedded / Plain Text Note Conversion Options

Converts Word’s embedded endnotes and footnotes to/from regular text. Because Word’s embedded notes feature allows for automatic renumbering of notes when changes are made, Scribe recommends using Word notes throughout the scribing and editorial processes.

  • Use the checkboxes to indicate whether the conversion should occur on endnotes, footnotes, or both.
  • Choose whether you want to convert embedded word notes to plain text or plain-text notes to embedded notes.
  • Choose whether you want to convert embedded word notes located within tables to in-text tn paragraphs located immediately after the table. This cannot be undone.
  • If converting embedded notes to plain text, select the formatting to apply to note numbers.
    • [refnum].[tab]: The note number will convert to the note number followed by a period and a tab before the note text.
    • [tab][refnum].[tab]: The note number will convert to a tab followed by the note number followed by a period and another tab before the note text.

Note Warnings

This tab displays warnings about notes that should be resolved prior to upload to the Hub or prior to converting notes in the SAI. The options in the “Find . . .” frame will find problematic instances, while the “Modify Selected Note” frame applies a fix to the selected text or note.

Fix: Apply Default Paragraph Font to selected text
Description: Option becomes enabled when the note reference style (<fnref>/<enref>) is applied to both embedded notes and to other characters. While clean notes will automatically convert whitespace with these styles to the default paragraph font, other characters may also have the style erroneously applied in a file with embedded notes. This feature provides a quick way to find and fix problematic instances.

Description: Option becomes enabled when a document has an embedded note with no note marker character in the note. The problem is usually created when a Word user deletes an embedded note number. Word does not delete the corresponding note reference, which creates note-matching issues that are difficult to resolve and could cause issues in the Hub. This find option will select the note (it automatically selects the first word in the note). The corresponding fix will add the necessary note marker at the beginning of the first paragraph in the note. If the selected text is a number (such as a manually reinserted footnote marker), that text will be deleted before the note marker is added.

Description: Option becomes enabled when a document uses a note that features the “custom mark” option. Use of this Word feature can cause unexpected note-embedding issues. The corresponding fix option replaces the custom marker with the regular embedded note marker.
