Tag and check a bibliography against a style guide.
Bibliography Tagging
Not available on Mac versions of SAI at this time.
Automatically tag distinct parts of bibliographic paragraphs, such as a work’s authors, title, and date. Bibliography tagging should be considered part of the editing procedure, not part of the scribing process. While some projects may need parts of a bibliography tagged for content management systems that use citation metadata, most projects use citation tagging to highlight potential issues that need to be copyedited and call attention to inconsistencies in bibliography and note preparation.
The bibliographic tagging is optimized for full tagging of certain common bibliographic media:
- Books (including those with editors or translators)
- Chapters in books
- Journal articles
- Websites and online articles
- News pieces
Tagged bibliographies can highlight problems with a bibliography’s citation structure.
Tag the bibliography by going to Auto-Edit and choosing Tag Bibliography. To untag the bibliography, select Untag Bibliography. To retag a selection or perform other automated bibliographic checks, select Check Bibliography (see below).
Warning: While tagging can be done manually, certain character styles are associated with the i character style. Don’t overwrite existing ScML character styles except in the following cases:
- The i style can be replaced with ref-journaltitle, ref-webtitle, or ref-booktitle, and these styles are interchangeable. The url style can be replaced with ref-doi where appropriate.
- The automatic tools will not change character styles except to exchange i with the three italic reference character styles. Untagging reference styles will revert these formatted styles back to i or url as appropriate.
Check Bibliography
Tagged bibliographies can be checked against select bibliographic style guides. Open Auto-Edit > Bibliographic Tools > Check Bibliography.
Scope
Choose whether to act on the entire document or the selected paragraphs only. If you have previously run the Check Bibliography command, select Update entries with bibliographic queries only to act only on those paragraphs with a bibliographic comment already added.
Check Bibliography
The focus of the Check Bibliography panel is reviewing and querying paragraphs where the punctuation between elements and overall structure of the bibliography paragraph is potentially incorrect. It does not check that tagged material itself follows the rules of the selected style guide, which must be checked in a subsequent step.
- Style Guide: Choose the style guide you want to check the tagged bibliographic paragraphs against.
- Retag selected paragraphs before checking: If you’ve updated the text since the last time the computer tagged it, selecting this option will untag and retag the paragraph, potentially fixing tagging errors caused by citation structure errors.
- Tag inverted author names: Select if the style guide recommends that all author names in multiauthor works should follow the inverted “Lastname, First Initials” form.
- Tag/Retag Only: Tags or retags the rf paragraphs designated by the scope.
- Check Bibliography: Queries rf paragraphs that don’t match one of the accepted patterns allowed by the style guide. If Retag selected paragraphs before checking is selected, they will be retagged first.
- Accept Selected Bibliographic Pattern: Removes bibliographic queries from paragraphs that follow the same structure as the selected paragraph.
Review Tagged Elements
Pulls all instances of bibliographic pieces into a list. The list is organized by tag type so that you can review all authors, all publishers, and so on. This list can be reviewed in the Check Bibliography window or in a new document. Review the list of tagged elements to see if there are issues or inconsistencies with the formatting of tagged elements.
Check Citations
- Check Parenthetical Citations: Queries parenthetical citations in the main text that don’t match tagged paragraphs.
- Highlight Note Citations: Highlights notes that match the tagged bibliographic entries up to and excluding the page number. Attempts to tag both the long form and short form of the bibliography. Citations that weren’t highlighted may not match the bibliographic information. The tool creates a new file with note text that the tool searched for.
- Select Closest Expected Entry: If you already ran Highlight Note Citations, this tool will attempt to select the closest entry in the file that was created.
Remove Queries
Removes queries generated by this tool from the selected scope.
